ACC claims & submissions

The full ACC billing flow — billable items to ACC invoices to an invoice schedule — plus how to submit, track and fix returned submissions.

AI summaryTL;DR
  • ACC billing flows in a chain: treatment → billable items → ACC invoices → an invoice schedule you submit.
  • Verify the claim, provider and service details before invoicing — most errors trace back to wrong source data.
  • Track each schedule as pending, accepted, processed or returned, and correct the source before resubmitting.

ACC billing has more moving parts than a patient invoice, but it’s a clear chain once you can see it. Get the source data right and the submission usually just works; most failures come from a detail that was wrong before you ever hit Submit.

How ACC billing flows

Four stages, each feeding the next:

  1. 1
    Treatment activity

The care you deliver against an injury creates billable items.

  2. 2
    Billable items

Each item is a single ACC-eligible charge, tied to the injury’s claim.

  3. 3
    ACC invoices

Billable items become ACC invoices for the claim.

  4. 4
    Invoice schedule

One or more invoices are grouped into an invoice schedule — the batch you submit to ACC.

Before you invoice — what to check

Most rejected submissions come from incorrect source data, so verify these before you raise the invoice:

  1. 1
    Patient & injury

The right patient, and the specific injury you’re billing for.

  2. 2
    Claim & injury detail

ACC45 claim number, date of injury (DOI), and the diagnosis or READ code.

  3. 3
    Provider details

Treating practitioner, provider number, and the vendor / payee the work bills under.

  4. 4
    Service detail

Service code, treatment date, quantity and price.

Build an invoice schedule

Group eligible invoices into a schedule and get it clean before submitting:

  1. 1
    Create the schedule

Start a new invoice schedule for submission.

  2. 2
    Add eligible invoices

Add the ACC invoices that belong in this batch.

  3. 3
    Resolve validation issues

ManaNotes flags problems before submission — work through each one until the schedule is clean.

  4. 4
    Confirm the totals

Check the schedule totals match what you expect, then submit to ACC.

Track a submission

After you submit, the schedule moves through a series of states. Check back to see where it’s up to:

  1. 1
    Pending

Submitted and awaiting a response from ACC.

  2. 2
    Accepted

ACC has accepted the schedule for processing.

  3. 3
    Processed

ACC has processed the schedule — payment follows.

  4. 4
    Returned with an error

ACC rejected something. The schedule comes back with an error to resolve.

Common issues & how to fix them

Check the treating practitioner’s provider number and that they’re linked to the right ACC provider account. Correct it on the source, then rebuild the invoice.

The vendor / payee the work bills under isn’t authorised for this claim or service. Verify the vendor details against your ACC setup.

Submissions can’t go through without an active ACC digital certificate. Reinstall or renew it in your clinic’s ACC settings — see <a href="#setup-clinic" data-link="setup-clinic">Set up your clinic</a>.

Re-check the ACC45 claim number, DOI and diagnosis / READ code against the claim. A single wrong field returns the whole submission.

Confirm the service code matches the treatment delivered and the claim’s funding. Fix it on the billable item before reinvoicing.

Before resubmitting, check the schedule wasn’t already accepted — resubmitting an accepted schedule creates a duplicate. Investigate the source rather than firing it off again.
