Services & billable items

The catalogue of services and products you charge for — what a billable item holds, ACC vs private services, and how the “service” on an appointment comes from here.

AI summaryTL;DR
  • A billable item is anything you charge for — a service (a consult or treatment) or a product (a brace, tape, a supplement).
  • The “service” you pick when building an appointment is a service billable item — an ACC service asks for an injury, a private one doesn’t.
  • Each billable item carries its service code, price, GST and funding type, and can bind a treatment note template.

Billable items are your clinic’s price list. Every charge in ManaNotes — on an appointment, a treatment or an invoice — traces back to a billable item, so getting this catalogue right is what makes the rest of your billing just work.

Services vs products

A billable item is one of two kinds:

  1. 1
    Service

Something you do — an initial consult, a follow-up, an ACC treatment, a phone consult. This is the “service” you choose when you build an appointment.

  2. 2
    Product

Something you supply — a brace, strapping tape, a supplement. Charged on an invoice without needing an appointment.

ACC vs private services

A service’s funding type decides how it bills — and what an appointment needs:

  1. 1
    ACC service

Billed to ACC. Choosing one on an appointment asks for the patient’s injury, which links to its ACC45 claim and flows through to an ACC invoice and submission.

  2. 2
    Private / non-ACC service

Billed directly to the patient (or an insurer). No injury required — just the patient.

What a billable item holds

Each billable item carries the details that keep billing correct:

  1. 1
    Name & description

What it is, as it reads on invoices and in the booking panel.

  2. 2
    Service / item code

The code billing relies on — for ACC services, the ACC service code.

  3. 3
    Price & GST

The charge, and how GST is treated.

  4. 4
    Funding type

ACC, private or insurer — the field that decides ACC vs direct billing.

  5. 5
    Treatment note template

For services, optionally bind a treatment note template so the right note structure opens automatically. See Treatment note templates.
