- Work through four steps in order: business settings → ACC certificate → practitioners → billable items.
- Installing the ACC digital certificate is the key step — it lets ManaNotes talk to ACC for you.
- Finish with one end-to-end test invoice to confirm everything flows through to an ACC submission.
Setting up a clinic is a one-time job done by an administrator. Work through the four steps below in order — each one builds on the last, and the final test confirms the whole chain works before you see real patients.
1. Business settings
Start with your organisation-wide details: legal or trading name, contact details, addresses, timezone, locations, invoice information and other clinic defaults. Review these carefully — they’re reused across patient communications, receipts, invoices and everyday workflows, so a wrong address or timezone shows up everywhere.
2. ACC details & digital certificate
This is the most important step. Configure your clinic’s ACC details and install the ACC digital certificate, which authorises ManaNotes to communicate with ACC on your clinic’s behalf. Nothing can be submitted to ACC until this certificate is active.
3. Practitioners
With the certificate active, validate every practitioner’s ACC provider details and assign the appropriate certificate or ACC connection to each one. This links each practitioner to the right ACC provider account so their work bills correctly. Each practitioner’s Provider ID, vendor, service codes, locations and roster are set on their own page — see Practitioner settings.
4. Billable items & test
Finally, set up your billable items with the correct service codes, prices, GST treatment and funding types — see Services & billable items for the full rundown.
